How do you recover no-shows and reactivate patients?

Cut no-shows with well-timed reminders that make it easy to confirm or reschedule, rebook the ones who slip through with a quick same-day message, and win back dormant patients with a warm, personal nudge. This kit gives you the checklist and copy-paste wording to do all three.

Well-timed, considerate reminders help clinics keep chairs filled and waiting lists moving. Most of the improvement comes from timing and tone, both of which you can systematise.

The no-show recovery checklist

Work through this and you'll cover the essentials:

  • Confirm on booking: send an instant confirmation with date, time and location
  • Remind ahead: a reminder a few days before, and again the day before
  • Make replies one-tap: let patients confirm, cancel or reschedule in a single tap
  • Fill gaps fast: when someone cancels, offer the slot to a waiting-list patient
  • Chase the same day: if a patient no-shows, message them within a few hours
  • Reactivate quarterly: sweep for overdue patients and invite them back
  • Know your numbers: track no-show rate and rebooking rate so you can see what's working

SMS: confirmation on booking

Hi [First name], you're booked in with [Clinic] on [Day, Date] at [Time]. Need to change it? Reply here or call [Phone]. See you then.

SMS: reminder, 2 days before

Hi [First name], a reminder of your appointment at [Clinic] on [Day] at [Time]. Reply YES to confirm or RESCHEDULE to move it.

SMS: reminder, day before

Hi [First name], see you tomorrow at [Time] at [Clinic]. If you can't make it, please reply so we can offer your slot to someone else. Thank you.

Email: reminder with the details

Subject: Your appointment at [Clinic] on [Day]

Hi [First name],

This is a friendly reminder of your appointment:

Date: [Day, Date] Time: [Time] Where: [Address]

Please bring [what to bring]. Need to reschedule? [Book a new time] or call us on [Phone].

Rebooking templates (after a missed appointment)

Assume good intent. The aim is an easy path back, not a telling-off.

SMS: same-day, after a no-show

Hi [First name], we missed you at [Clinic] today and hope everything's okay. Would you like to rebook? Reply here or call [Phone] and we'll find a time that suits.

SMS: follow-up, 2 days later (if no reply)

Hi [First name], still happy to get you booked back in at [Clinic] whenever you're ready. Reply with a day that works and we'll do the rest.

Email: rebooking

Subject: Let's get you rebooked at [Clinic]

Hi [First name],

We missed you at your recent appointment. Getting back in is easy:

[Book a new time] or reply to this email and we'll sort it for you.

Reactivation templates (for dormant patients)

For patients you haven't seen in a while. Make it feel personal, not like a mail-out.

SMS: overdue check-up

Hi [First name], it's been a while since your last visit to [Clinic]. You may be due a [check-up / hygiene visit / review]. Reply here to book and we'll find a convenient time.

Email: we'd love to see you back

Subject: You're due a visit at [Clinic]

Hi [First name],

Our records show it's been a while since we last saw you. You may be due a [check-up / hygiene visit / review].

Booking takes a minute: [Book now] or reply to this email.

We'd be glad to see you back, [Clinic] team

SMS: gentle final nudge (then stop)

Hi [First name], a final note from [Clinic]. Whenever you're ready for a [check-up], we're here. Reply BOOK and we'll take it from there.

One polite follow-up is plenty. If there's no reply after that, stop. Respecting a patient's silence protects your reputation and keeps you on the right side of consent.
