An outsourced receptionist answers in your business's name using your brief. AI answering service or AI receptionist

A voice agent answers using a configured knowledge source and call flow. Depending on the product and implementation, it can capture details, answer approved questions, book against live availability, send a link, write to a CRM and transfer the call. Coverage, simultaneous-call limits, supported actions and the live-human route remain provider- and plan-specific.

Hybrid answering

AI handles a bounded first step or an agreed set of call types, while a human service or your own team receives the named handoffs. The split can also follow time: your team during open hours, a human bureau at one period and AI overflow for another. Design the handoff alongside the first call flow.

Start with one complete month of calls

Export one recent complete month from your phone system. For each call type, record:

  • call count and total minutes
  • open-hours, out-of-hours and peak-time split
  • caller goal and the correct end state
  • information the answerer needs
  • diary, CRM, payment or job system touched
  • situations that require a named person
  • current result: answered, voicemail, message, booking, transfer or abandoned

Compare the complete monthly cost

Both categories can meter usage. Normalise each quote against the same call month:

expected monthly cost = base charge + excess usage + required add-ons + support + one-off costs spread across the comparison period

Ask every provider for these fields in writing:

  • base price and VAT position
  • included calls or minutes and the billing increment
  • excess call or minute rate
  • open-hours, out-of-hours and bank-holiday treatment
  • setup, number, porting and cancellation charges
  • appointment, CRM, SMS, transfer and payment add-ons
  • AI, telephony or model usage outside the headline allowance
  • contract length, trial terms and support level

Use synthetic caller details and run the same ten calls through every shortlisted route:

  1. A new customer books with two valid constraints.
  2. An existing customer reschedules after the required identity check.
  3. A caller asks a common question using wording absent from the script.
  4. A caller asks for a service or postcode outside the approved coverage.
  5. A caller requests a person immediately.
  6. A distressed, complaining or judgement-heavy caller reaches the named human route.
  7. The requested slot disappears while the call is in progress.
  8. The diary or CRM is temporarily unavailable.
  9. The caller corrects a name, number or booking detail before finishing.
  10. Two calls arrive together while the preferred human recipient is unavailable.

Score each call on:

Keep the call-level results. A polished demonstration is weaker evidence than ten repeatable outcomes in your setup.

Data and call-recording checks

Map every processor before the trial: phone provider, answering company, speech or transcription service, AI provider, calendar, CRM and message channel. Record what each receives, where it is processed, how long recordings and transcripts remain, who can access them, how they are deleted and whether provider terms permit training use.

If calls are recorded, the ICO says callers must be told that recording occurs and why. Its guidance also points to retention, rights and data-sharing information. Decide how the service identifies itself, explains recording or transcription and provides the privacy notice before going live.

For clinics or any line that may capture health information, define the permitted topics and immediate human routes before testing. Get data-protection and clinical advice for the specific service rather than treating a general provider claim as approval for your use case.
